BETTER WORKFLOWS
Prepare once. Send again with document templates.
If you send the same kind of agreement regularly, you probably repeat the same preparation: upload a document, add the people, place the fields. A template gives that work a home you can reuse.
Save the setup that stays the same
A Countersigned template stores a PDF, recipient roles, fields, defaults, and settings. It is useful when the structure stays mostly the same between agreements, such as a standard services agreement or an onboarding form.
A template is a starting point. Each agreement created from it is its own signing task. Previous recipients’ completed responses are cleared when a template is reused, so those responses are not carried into the next agreement.
Use roles for the people who change
A recipient role describes who acts on the document: “Client,” “Contractor,” or “Company signer,” for example. Set up the roles and their fields in the template, then supply the actual recipient details when you use it.
Clear role names make it easier to check the signing flow. They also help when another workspace member uses the template and needs to understand who should fill in each part.
Build a template you can trust
Start in Templates, or create a template from an existing agreement whose setup you want to reuse. Review the PDF before saving: any details printed directly in the document will still be there the next time you use it.
- Give the template a specific, recognizable name.
- Set up recipient roles and check their signing order.
- Assign each signature and response field to the correct role.
- Review default values and required fields.
- Save the template, then check each new agreement before sending.
Keep the source document current
Templates save preparation time, but they still need care. Revisit them when your process or standard document changes. If you replace the PDF, check the field positions against the new pages rather than assuming the old layout still fits.
For agreements with changing prices, dates, or scope, decide which details belong in the underlying PDF and which should be entered into fields. Check both before you send. A familiar template should make review easier, not replace it.
